Community Associate
Overview
At Work-Collective, community is at the heart of everything we do. As a family-owned coworking business located in Bend, Oregon, we provide workspace and meeting environments for remote workers, entrepreneurs, and small teams.
The Community Associate provides reliable front desk coverage and works collaboratively with the rest of the team to provide support for daily operations, virtual mail and to nurture a welcoming, professional experience for members and guests. This role focuses on consistency, execution, and day-to-day interaction within established processes.
Working under the guidance of the Community Operations Lead, the Community Associate helps maintain smooth daily operations while contributing to the welcoming and professional atmosphere that defines the Work-Collective experience.
Core Responsibilities
Front Desk and Member Experience
- Supports the Community Operations Director and Lead
- Serve as the primary point of contact during scheduled shifts.
- Welcome members and guests with a friendly and professional presence.
- Answer questions and provide support using established guidelines and membership policies.
- Conduct tours for prospective members using provided materials and procedures.
- Help maintain accurate notes and CRM data in HubSpot or related systems
- Help maintain a welcoming and inclusive environment for the community.
Daily Workspace Operations
- Follow opening and closing procedures during assigned shifts.
- Help maintain clean, organized, and presentable shared spaces throughout the day.
- Monitor workspace supplies and communicate restocking needs.
- Use membership management systems to support daily operations as needed.
- Support the Community Operations Lead with the monthly newsletter.
- Support for member communications in all of the workspaces and members portal.
Space Presentation and Hospitality
The Community Associate helps maintain a workspace that is welcoming, polished, and ready for members and guests throughout the day. This role supports the overall presentation of the space by attending to shared areas, noticing details, and helping ensure the environment consistently reflects Work-Collective’s hospitality standards.
- Maintain kitchens, common areas, meeting rooms, and front desk spaces so they remain clean, organized, and guest-ready.
- Help reset shared spaces throughout the day, including dishes, kitchen areas, and other high-use areas.
- Respond proactively to presentation or cleanliness issues as they arise.
- Coordinate with cleaning support or other team members when additional attention is needed.
- Help uphold a culture where care for the physical environment is part of the member and guest experience.
Mailbox and Virtual Office Support
The Community Associate is responsible for the day-to-day support and coordination of Work-Collective’s virtual office and mailbox services. This program provides businesses with a professional street address and secure mail handling for members.
- Receive and organize incoming mail and packages from various carriers.
- Log and manage items within the digital mailbox system and ensure members receive notifications when mail arrives.
- Coordinate mail pickup and maintain an organized, secure storage system for incoming items.
- Support virtual office members with questions related to their mailbox service
- Maintain accurate records and handle all member mail with professionalism and discretion.
- Communicate regularly with the Community Operations Lead regarding questions, exceptions, or process updates.
Communication and Reliability
- Complete assigned tasks and follow documented processes.
- Communicate proactively if something cannot be completed.
- Escalate issues that fall outside defined responsibilities.
- Apply feedback consistently and ask clarifying questions when needed.
- Maintain reliability and professionalism during scheduled hours.
Events and Community Support
- Assist with occasional events and community activities.
- Provide schedule coverage during team vacations or absences when possible.
Qualifications
Knowledge, Skills, and Abilities
- Strong organizational skills and attention to detail.
- Clear communication and interpersonal skills.
- Comfort interacting with a wide variety of people in a professional environment.
- Ability to work independently while following established procedures.
- High level of comfort with technology and software, including the ability to independently figure out and troubleshoot a variety of tools, platforms, and systems.
Preferred Qualifications
- Customer service or hospitality experience.
- Experience working in coworking, office, or community-focused environments.
- Familiarity with tools such as newsletter platforms or CRM’s is a plus.

Hours, Pay, and Benefits
- Part-time position, approximately 15–30 hours per week.
- Flexible scheduling with morning and afternoon shifts. No weekends.
- Ability to take shifts at both of our locations.
- Hourly wage: $21–$23 per hour, depending on experience.
