Meeting Mail Plus

Looking for a professional space to meet clients and a reliable business mailing address? The Meeting Mail Plus plan is designed for startups and small businesses that value professionalism and convenience.

This plan meets Google Business Listing requirements by providing working access to our facility. This plan includes the following benefits:

  • Access to conference rooms at both Midway and Northwest Crossing locations
  • Prepaid access to meeting spaces for 6 hours per month (1 person) at any location
  • Your business listing on our digital lobby directory
  • The annual plan will remove the 6-hour monthly restriction and bundles meeting credits to be used anytime over a 12-month span (72 hours total)

Common questions and answers to consider before you join a plan:

Yes. Work-Collective is a registered Commercial Mail Receiving Agent (CMRA) authorized by the United States Postal Service to process and handle mail on your behalf. All USA-registered businesses can use a CMRA as their business mailing address. Make sure to include your PMB in the full address on all mail.

A CMRA is a private business that accepts mail delivery from the Postal Service for others (addressee), holds it for pickup (in most cases, a private mailbox (PMB) or re-mails it to another address with payment of new postage. The traditional storefronts like MAILBOXES ETC., POSTNET, POSTAL ANNEX, AND PACK AND SHIP are easily recognized as a CMRA. Recently, all cowork spaces offering virtual mailbox services, such as Work-Collective, have been required to comply with USPS requirements and become an authorized CMRA.

Yes, provided you have a mailbox plan or an add-on mailbox plan as a current member. The Oregon Secretary of State does not accept the address from a Virtual office or Commercial Mail Receiving Agent (CMRA) if you do not physically work in this space. To accommodate this requirement, all Work-Collective mailbox plans have day passes giving access to our workspace. This means you physically work here, and there is no need to use a separate Registered Agent service to register your business. 

Yes, absolutely! However, be advised that Google has recently made the process more difficult. As Google Business listing (formerly Google My Business) uses the physical address of the business, you will need to create a video for Google showing that your business is registered here. Please let us know if you would like to use this service, as our staff can talk to you about how to create this video and follow the specific guidelines they require. In most cases, we will need to schedule a time with you to stage and shoot the video.

Work-Collective is not a Registered Agent and may not be listed as your Registered Agent. However, many states allow you to serve as your own company’s registered agent. In fact, any individual or business that meets a state’s registered agent requirements may serve in that role. It is your responsibility to confirm that you meet your state’s requirements. Our team will log incoming mail and deliveries and send digital notifications through our system.

If you choose to list yourself as the Registered Agent and use our address, you remain solely responsible for receiving, monitoring, and responding to any legal papers, service of process, or official government notices related to your business. Work Collective does not accept service of process and does not assume responsibility for missed deadlines, legal notices, or compliance obligations. If you are not able to take on that responsibility directly, you should hire a qualified Registered Agent service or use an address where legal documents can be reliably received.

In the United States, the U.S. Postal Service regulates how mail can be received and handled. USPS also dictates required procedures for commercial mail receiving agents (CMRAs) like us to follow. USPS Form 1583 authorizes a CMRA to receive mail on the customer’s behalf. The completed form is required before anyone can give you a mailbox. However, this is now completed electronically through our partner platform PilotoMail, with a process that’s easier than ever! Just fill out the information in your PilotoMail account, and it converts the information into a 1583 that we can then upload to the USPS. 

Yes, please always include your PMB number whenever you give out your address. Think of it as an apartment number at a complex. Without this number, your address is not complete, and it is much more likely that mail will be returned or sorted incorrectly.

After our team contacts you, an invitation for Pilotomail will be sent by our team. Open that invitation and follow the instructions.

USPS requires a quick identity check before you can start receiving mail. You’ll need two forms of ID—one with a photo to confirm who you are and another that proves your address

You will also need to download the app Mailbox by PilotoMail to manage your mailbox and send us any requests (such as mail forwarding, please open, get rid of/shred, etc.). This is where you will get notifications that you have mail. You will also get a notification via email.

You will need a photo ID and an address ID.

A Photo ID is a government-issued card that has your photo, full name, and expiration date. It proves your identity.

You Can Use One of These:

  • U.S. Passport – The little blue book used for travel.
  • U.S. Driver’s License or State ID – Issued by your state’s DMV.
  • Military ID – If you’re in the U.S. Armed Forces, this works.
  • Government ID – Includes Federal, State, or Tribal-issued IDs.
  • University/College Student ID – If you’re a student, this counts!
  • Matricula Consular – A special ID issued by the Mexican government.
  • NEXUS – Trusted traveler cards for crossing borders.
  • Valid Foreign Passport – Must include a U.S. visa or an entry stamp.

Note: If you choose to use your Driver’s License or State ID as your Primary ID, you cannot use it as your Secondary ID. You must pick a different option for your proof of address.

Your Primary ID must be valid (not expired)! If it’s expired, you’ll need a new one before you can use it.

Your Address ID shows where you live. This proves that your mailbox matches your actual address and is required by USPS.

You Must Use One of These:

  • U.S. Driver’s License or State ID – Issued by your state’s DMV.
  • Lease, Mortgage, or Deed of Trust – A document proving where you live.
  • Voter Registration Card – A card showing where you’re registered to vote.
  • Home or Vehicle Insurance Policy – A document showing your coverage.
  • Vehicle Registration – Your car registration document.
  • Notarized or Certified Copy of a Birth Certificate – A legal document confirming your identity.

If your Driver’s License is the only document you have that shows your address, you cannot use it for both IDs. Instead, use it as your Secondary ID (proof of address), and choose a different Primary ID with a photo, like a passport, military ID, or college ID. 

Your Address ID must be recent! (Usually within the last 90 days).

Yes, you may transfer your PMB #; however, there is a $50 fee/per transfer.

Please check in at the front desk, and our staff will bring your mail to you. It is located in a locked cabinet that only our staff will have access to.

No. Mail may only be picked up during normal business hours (Mon-Fri, 8 am – 5 pm).

Work-Collective does charge a small storage fee for items that are in your box for longer than 30 days. You’ll receive an alert if your mailbox has gone over 30 days without a pickup. We will also alert you when your mailbox is full.

Yes, if delivered between normal business hours, Work-Collective staff will sign for your packages and notify you via email.

Every mailbox plan can request to forward mail. You can request that a piece of mail be forwarded either physically via FedEx or digitally by scan. Any charge for these requests will be indicated on the forwarding request.

You will receive a monthly invoice (or annual if you choose an annual pre-pay plan). Invoices default to autopay; your invoice is processed by Stripe either by credit/debit card or ACH transfer. You may edit your payment settings in the Work-Collective member’s portal. Please contact our staff if you have any trouble or if you switch your payment method. 

Yes. If you request physical mail forwarding, you cover the cost of the shipping per the carrier you select, plus $1.00 per request. We can add this to your monthly invoice. There will be a charge if the mail is held for more than 30 days without being picked up. It is $1/day for mail and $2/day for packages. Your mailbox should let you know how many days are left you have before this charge will be incurred. 

Work-Collective does not offer this service. Ruby is a great option to explore.
